  2. An educational organisation runs courses and keeps track of participants using a secure database.
  3. A customer relationship management (CRM) package is used to input and access the participant info.
  4. The participant information is stored in a secure online database for access by the office staff and by websites when required.
  5. As time passes, the data gets out of date because people move house or change their phone numbers and email addresses - this reduces the marketing value of the data.
  6. A data tidying "campaign" is run by the organisation to contact everyone in their database and ask them to verify their details.
  7. A secure web portal allows the person to view the details held, and update them if the details are out of date.
  8. An email is sent to each person in the database inviting them to verify their details. Each email contains an encrypted link ensuring each person only sees their own data.
  9. All the emails that bounce-back are tracked and the records in the database are marked as email address = unknown.
  10. Staff can phone or write to the people for whom the email address is unknown and update the record manually if required.
  11. Person who receive the email can quickly check and update or confirm their information. This highly automated campaign greatly increases the value of the data.
  12. Management can quickly access reports that show the number of responses, updates and confirmations - in real time.
